SERVICE ADMINISTRATOR

We are currently seeking to recruit a Service Administrator to work from our Altrincham depot. Working in a busy office environment and reporting to the Service Manager, your primary function would be to support the service controller in the day to day running of the department. Responsible for handling calls, raising job cards, estimates and other service related matters. Working to the highest standards in order to provide our customers with the best service support in the industry is essential. Knowledge of the construction / plant hire industry or similar role is advantageous however self-motivation, organisation, and the desire to exceed customer’s expectations would be the minimum requirement.

 

Detailed Job Description

  • Assist in processing breakdowns received via our in-house call logging system, phone and emails.
  • Ordering parts for customer breakdowns & remedial works as dedicated by the service controller.
  • Assist in planning and allocating engineers to breakdowns.
  • Following Routine Maintenance and Machine Health Checks, ensure all jobs are raised and planned in a timely manner.
  • Ensure all estimates and related documentation is saved on the call log and add any comments to the call as necessary.
  • Following engineers’ diagnostics, raise estimates for remedial works.
  • Appointing 3rd parties where necessary to cover breakdowns, chasing them for updates & raise order numbers upon completion and receipt of paperwork, ensure costs are accurate.
  • Communicating with customers, updating them on the status of their breakdowns.
  • Sending completed job cards and other paperwork to customers as required.
  • Manage and action emails as necessary.
  • Some invoicing maybe required along with requesting order numbers for completed works.
  • Covering for the service controller during holidays or sickness
  • Other projects/tasks as dictated your senior controller or service manager

Working in a busy office environment and reporting to the Service Manager, the selected candidate will be responsible for handling calls, raising job cards, allocating engineers work and other service related matters. Working to the highest standards in order to provide our customers with the best service support in the industry is essential. Knowledge of the construction / plant hire industry or similar role is advantageous however self motivation, organisation, and the desire to exceed customer’s expectations would be the minimum requirement.

 

Detailed Job Description

  • Managing breakdowns logged by customer via call logging portal, phone & email.
  • Appoint engineers by identifying the most cost-effective solution whilst adhering to account customers SLA’s.
  • Ensuring we communicate with the customer keeping them informed of the progress via phone/email or online breakdown database.
  • Respond to breakdowns from other JCB dealers and appoint engineers as required.
  • Manage out of area work not covered by our national service team, including follow ups and raising of order numbers for retail works, including invoicing the customer for the works.
  • Raising estimates for remedial works.
  • Appointing 3rd parties where necessary to cover breakdowns & raise order numbers upon completion.
  • Raising, costing & invoicing jobs as required (including requesting customer order numbers & submitting warranty claims).
  • Other projects/tasks as dictated your senior controller or service manager.
  • Providing cover for the other service controllers during holiday or sickness.

About The Role

As a Parts Advisor, your main duties would include:

  • Assisting with customer enquiries over the counter and on the phone.
  • Working with service colleagues to arrange parts deliveries.
  • Managing stock.
  • Ordering parts via JCB’s online catalogue.

Liaising with our engineers who support our customers all over the country Detailed training will be given by your colleagues and our specialised training team, who have recently developed a bespoke training programme for our parts staff. This includes familiarisation sessions with the wide range of plant machinery that we provide and support, as well as some technical instruction to improve your understanding of how this equipment works.

This Parts Advisor position is a great opportunity for someone who is able to work independently. Once you have gained an understanding of our processes and procedures, you will be supported in developing this aspect of our parts business further, working closely with management to achieve the best standards of service in the industry.
